This policy explains what personal data Wodana handles, why we use it, who can access it, and how you can request access, correction, export, or deletion.

1. Scope and roles

This policy applies to Wodana's public website, web application, Android and iOS applications, client portal, and related support services (together, the Services). “Wodana,” “we,” “us,” and “our” refer to the operator of these Services.

Wodana is designed for interior-design and project-execution businesses. When we manage account, website, billing, security, or support information for our own purposes, Wodana determines how that data is handled. When a customer organization uses Wodana to manage its leads, clients, workers, vendors, quotations, projects, or site records, that organization controls the business content and Wodana processes it on the organization's instructions.

If your data was entered by an interior studio, contractor, or other Wodana customer, please contact that organization first. We will assist it with valid privacy requests.

2. Data we collect

Billing and transactionsSubscription or project transaction identifiers, amounts, status, tax and invoice details. When payment processing is enabled, payment credentials are handled by the payment processor; Wodana does not receive full card credentials.

We receive data from you, your organization, authorized teammates, clients or vendors who interact through the Services, the device you use, and service providers that support requested features.

3. How we use data

We use personal data only where needed to:

  • create, authenticate, and administer invited workspace accounts;
  • provide CRM, requirements, quotation, BOQ, project, site, procurement, finance, reporting, and client-portal functions;
  • display project information to authorized staff and clients;
  • send requested service, security, workflow, and daily-report notifications;
  • verify site check-ins or check-outs initiated by a user;
  • process support requests, troubleshoot errors, prevent abuse, and protect accounts;
  • improve reliability and understand how product features perform;
  • meet contractual, tax, accounting, security, and legal obligations.

Depending on the relationship and applicable law, these activities are based on performing our contract, your consent, our legitimate interests in operating and securing Wodana, and compliance with legal obligations. You may withdraw consent for future processing where consent is the applicable basis.

4. AI-assisted features

Some Wodana features use artificial intelligence to organize rough notes, interpret requirement inputs, suggest structured room and item information, or assist other workflows. When you use these features, relevant text, images, documents, and limited workspace context may be sent to contracted AI service providers, including Google's Gemini services and OpenAI services, to generate the requested output.

AI output can be incomplete or incorrect. Wodana presents review and confirmation controls for material changes; authorized users remain responsible for checking outputs before approval or use. Do not include passwords, government identity numbers, or unrelated sensitive personal data in notes or uploads.

5. How data is shared

We disclose data only as needed for the following purposes:

  • Your workspace: authorized members, clients, and assigned project participants see information permitted by their role and project access.
  • Service providers: cloud hosting, storage, database, authentication, email, notification, diagnostics, AI, and customer-support providers process data for Wodana under contractual restrictions.
  • Payments: payment processors such as Razorpay may receive payment information when that feature is enabled and used.
  • Legal and safety: we may disclose information to comply with law, enforce agreements, protect users, investigate fraud or abuse, or respond to valid government requests.
  • Business change: data may transfer as part of a merger, financing, acquisition, reorganization, or sale, subject to appropriate safeguards and notice where required.

Wodana does not sell personal data and does not share it with advertising networks for cross-context behavioral advertising.

6. Mobile app permissions

You can manage permissions in your device settings.

  • Location: requested for point-in-time site check-in and check-out verification. Denying it prevents location-verified attendance but does not enable hidden tracking.
  • Camera, photos, and files: used only when you capture or choose evidence, plans, documents, or attachments to upload. Wodana does not scan your media library.
  • Notifications: used for assigned work, approvals, project updates, reminders, and other service messages. You may disable notifications in device settings.

7. Retention and security

We keep data for as long as an account or customer workspace is active and as needed to provide the Services. Retention also depends on the data's purpose, customer instructions, dispute and fraud prevention, and legal requirements. Tax, financial, audit, and transaction records may be kept for the period required by law. When data is no longer needed, we delete or de-identify it; deleted data may remain in protected backups until routine backup rotation.

We use access controls, tenant separation, encryption in transit, protected credentials, logging, backups, and other organizational and technical safeguards appropriate to the data. No system is perfectly secure, so please use a strong password, protect your device, and report suspected misuse promptly.

8. Your choices and rights

Subject to applicable law, you may ask to access, correct, receive a copy of, restrict, object to, or delete personal data, or withdraw consent. You may also complain to the relevant privacy authority. Workspace administrators can update many team-account fields and access permissions directly.

We may need to verify your identity and authority before acting. If a customer organization controls the requested business record, we may forward the request to or coordinate with that organization. We will not discriminate against you for making a valid request.

9. Delete your Wodana account or data

The Wodana mobile app does not offer open public account registration. Accounts are invited and administered by a customer workspace. You can still request permanent deletion of your account and personal data through this public page.

  1. Email support@wodana.com from your registered email address with the subject Delete my Wodana account.
  2. Include your workspace name and whether you want your account, specific data, or both deleted. Do not email a password, government ID, payment credential, or sensitive project file.
  3. We will verify the request and, where business records are controlled by your organization, coordinate with its authorized administrator.

After verification, we will delete or de-identify the account profile, device notification tokens, and other personal data under Wodana's control, subject to valid legal, security, fraud-prevention, contractual, and record-keeping requirements. Some data may remain in protected backups until routine rotation. Deactivating or deleting a user does not automatically erase legitimate project, invoice, or audit records owned by the customer organization.

10. International processing and children

Wodana and its service providers may process information in India and other countries where they operate. Where required, we use contractual and other safeguards for international transfers.

Wodana is a business service and is not directed to children. We do not knowingly permit children to create accounts. Project notes should include only information that is necessary for the project; do not enter unnecessary information about children.

11. Changes to this policy

We may update this policy when our Services or legal obligations change. We will publish the updated version here, revise the date above, and provide additional notice where a material change or applicable law requires it.
